Two different trips, one graduation weekend

When a parent calls about graduation, our first question is always the same. Who is riding? The answer splits the call into two trips that barely resemble each other.
The family trip. Grandparents flew in, your brother drove up from Houston, and eleven people need to reach a 9 a.m. ceremony at an arena filling with thousands of other guests. Then there is a lunch reservation across town. That is a daytime shuttle with a celebratory feel, and what matters is an easy step for older relatives, a drop at the door, and a driver who already knows where buses are allowed to sit.
The graduates' trip. Fifteen seniors want one more night together: dinner, something to do, maybe a parent's house, then everyone delivered home. That looks a lot like a prom booking in looser clothes. What matters there is an adult on the contract, a rider list that does not change, and no 18-year-old driving at 1 a.m.
Plenty of families book both, sometimes on the same vehicle and the same day. The planning is different enough that we will take them one at a time. If your graduate is finishing college, skip ahead to the commencement section.
Getting three generations into the arena
Most Dallas-area districts hold commencement at a big shared venue rather than on campus. Families tell us they are headed to the UNT Coliseum in Denton, the Ford Center at The Star in Frisco, the Credit Union of Texas Event Center in Allen, Moody Coliseum at SMU, or Dickies Arena in Fort Worth. Your school announces its own venue and time, so confirm that with the district before you plan anything around it.
These places run ceremonies back to back. That is the whole problem in one sentence: the lot is still emptying from the school before yours while your family is trying to park. A bus drops you at the entrance, leaves, and comes back when you say.
- Be at the doors 45 to 60 minutes early. Seating is usually first come, and your graduate often has to report even earlier and may travel separately.
- Agree on a pickup spot before you walk in. Afterward, thousands of people are looking for each other. Name a landmark, name a time, and give the driver's number to two adults.
- Tell us about mobility needs when you ask for the quote. Walker, wheelchair, bad knee: we will talk through the vehicle entry and the venue's accessible drop.
- Book lunch within ten minutes of the arena. Every other family had the same idea, so reserve it early and keep the charter short.
Route and pickup questions come up in only about 8% of the sales calls we analyze. On graduation day they are the entire job. If relatives are flying in, our airport shuttle service can collect them from DFW or Love Field the day before so nobody is renting a car for 36 hours.

What we promise parents about grad night

A bus full of new graduates is a genuinely happy thing to drive. It is also a bus full of 17- and 18-year-olds, so we handle it as a youth ride from the first phone call. Here is what that means for you.
- A parent is our customer, not the students. You sign, you pay the deposit, and you stay reachable by phone. An 18-year-old graduate is legally an adult, but for a high school group we still want a parent's name on the paperwork.
- Nothing alcoholic comes aboard, and your driver enforces that, not you. Everyone riding is under 21, so the question simply does not arise. Same for vapes. Bags can be looked at when students board, and if something turns up the night ends with the group driven home.
- The guest list closes before the night starts. Send names in advance. Your driver will not add a rider at a stop because someone's friend needs a lift.
- The route is the route. Stops are agreed with you beforehand. Students cannot talk the bus into going somewhere else.
- Home means home. Decide now whether the night ends at one house or door to door, and budget the minutes for it.
The good itineraries give the group something to do besides ride: dinner in Uptown, bowling, Topgolf, a late dessert stop. Many schools also run an all-night Project Graduation on campus, and a bus that delivers everyone there with a parent carpool home in the morning is a tidy combination. Our parents' guide to prom party buses covers the supervision side, and it reads the same for graduation.

Counting the family, counting the friends
We do not hold inquiry rows tagged only for graduations, so the most honest guide is all of our Dallas calls. About 71% of them are for 11 to 30 passengers, and both graduation trips land inside that: a family party with grandparents and cousins is usually 10 to 18, and a senior friend group is usually 12 to 25.
| Trip | Typical riders | Vehicle to look at |
|---|---|---|
| Immediate family to the ceremony and lunch | 8–12 | 12-passenger stretch limousine or a Sprinter |
| Extended family, three generations | 14–20 | 20-passenger party bus, wide door and a handrail |
| Seniors' grad night | 15–24 | 24-passenger party bus |
| Two or three families combining, or a team | 25–40 | 36-passenger party bus or a 40-passenger coach |
Above 30 riders you are in rare company. Only about 7% of our North Texas requests are that large. If that is you, a forward-facing coach is usually the better tool for a straight there-and-back, and the Vehicle Size Matcher will put both options in front of you in under a minute. Book for the firm yeses, not the maybes.

Late May fills up before spring break
Graduation weekends run mid-May into early June, and they do not get those Saturdays to themselves. Across our Texas inquiry data, about 26% of school-dance requests are for May, well above May's share of everything else. Late-spring weddings sit on the same dates. So when you ask about a graduation bus, you are in line behind prom groups and bridal parties.
Most people ask late, too. More than half of our Dallas requests arrive inside 30 days of the trip. You have an advantage they do not: districts publish commencement dates months ahead, usually right on the school-year calendar. The moment the date and venue are posted, you know enough to ask for a quote.
- February or March: confirm the date, time and venue with the school. Poll the family, or the senior parents, for a headcount.
- 10 to 12 weeks out: request quotes. The Booking Window Planner turns your date into actual deadlines.
- 8 weeks out: sign, pay the deposit, book the restaurant.
- The week before: send final names, addresses and two adult phone numbers.
And if your ceremony falls on a weekday evening or a Friday morning, as many do, you are asking about a slot almost nobody else wants. Take it.

Five hours, and the photos always run long
Across the wider network we work with, about 74% of trips are booked for four to six hours. Graduation sits comfortably in that band, whichever version you are planning.
The family trip runs close to five hours: pickup 90 minutes before the start, a ceremony of 90 minutes to two hours depending on class size, 20 minutes to find each other afterward, then lunch. You can trim it by booking two separate one-way transfers instead, which works well when the arena and the restaurant are near each other.
Grad night runs five to six: pickups, dinner, one activity, and door-to-door drops that take far longer than anyone guesses when 18 students live across Plano, Richardson and Garland. Meeting at one house at both ends of the night is the single biggest time-saver available to you.
Total up your own version in the Rental Hours Estimator, the tool sitting in the middle of this page. Put in every stop, including the cap-and-gown photo session, which has never once finished when someone said it would.
When the graduate is already an adult
University commencements are a different animal. The graduate is an adult, the family is often flying in, and the celebration looks more like a dinner party than a teen night out. Ceremonies at SMU, UT Dallas, UNT, UT Arlington and TCU fill hotels with relatives who do not know the roads and would rather not rent three cars between them.
The plan most of these families land on: collect everyone at the hotel, drop at the ceremony, come back for campus photos, then carry the whole party to a private dining room. Later, the graduate and their friends keep the bus for a night in Deep Ellum or on West 7th in Fort Worth. Riders 21 and over may bring their own drinks on that leg if the vehicle's terms allow; if a younger sibling is aboard, the trip stays alcohol-free.
Friend groups almost always split the cost, so send a per-person number around early with the Cost Split Calculator. To book either kind of graduation trip, send us the date, the venue, your headcount, the pickup area, and one line about who is riding: family, high school seniors, or college graduates. That single detail shapes the entire quote.
