The size most Dallas groups land on

Someone calls and says "there are like fifteen or twenty of us." This is the bus we describe first. Big enough that the night starts the second the door swings open. Small enough to sit on a normal street, a hotel driveway or a restaurant curb without causing a scene.

The cabin is the classic party bus setup. Leather seating wrapped around the walls, open floor down the middle, a wet bar with ice coolers, LED and mood lighting, a sound system that pairs over Bluetooth, tinted windows and climate control. You can stand up in it. Every bus is finished a little differently, so ask and we will send photos of the one free on your date.

Our own inquiry data explains the crowd at this size. Close to half of the Dallas groups who tell us a headcount fall between eleven and twenty riders — roughly double the next band down. Stretch the range to anything twenty and under and you are looking at about two out of three groups who contact us. So if you are guessing, guess here first. You will usually be right, and when you are not, you will be one size off instead of three.

It runs the other way too. A firm list of fourteen does not need this much bus. The 18-passenger party bus has the same cabin, and you stop paying for bench nobody sits on.

The mistake we watch people make is sizing to the invitation list. Thirty invited is not thirty riders. Get a yes or a no out of each person, then add one or two for the friends who appear on the day. Capacity comes up in roughly one out of every seven sales calls we analyze, and the most useful thing we say in those calls is "count again on Thursday."

Stuck between two sizes, sixty seconds to settle it

So many shoppers land on this page by default that we put the Vehicle Size Matcher right here. Four questions: how many riders, what kind of night, how dressed up, what you are carrying. It hands back a size with the breathing room already built in, and it will tell you flatly when a twenty is too much bus or not enough.

A few groups who should hear a different answer:

  • Twelve friends going to dinner. A Sprinter-sized vehicle parks closer and fills up properly.
  • Twenty-two on the list, "but some will drop." Maybe they will. If they do not, two people stand on the curb, because the rated count is a legal limit and not a suggestion. Size to the list you actually have.
  • Twenty guests, formal, one stop. Some groups want the look instead. A 20-passenger stretch limousine is seated only, with a privacy partition and a bar area, and it photographs beautifully at the curb.
  • Thirty-five coworkers. Two twenties can beat one big bus. Separate pickup points, separate clocks, and nobody waits on the slowest half of the office.

That last one deserves another look. Two buses cost more in total than one large bus on most dates. They also solve things a single vehicle cannot: a pickup in Plano and another in Oak Cliff, or half your team leaving at nine and half staying to midnight. December Saturdays and everyone who wants one

Timing shapes what you can get more than anything else on this page, so it helps to know when the rest of Dallas is calling.

Weekends eat everything. In our own Dallas inquiry data, four out of five dated requests are for a Friday or a Saturday, and Saturday alone takes about six in ten. Move your night to a Thursday or a Sunday and you are suddenly asking for a date hardly anyone else wants.

The holidays, not the summer. Our busiest stretch is fall and winter, and December is the single biggest month we have. Office parties, light tours, New Year's Eve and friends home for the holidays all pile into the same six weeks. Most of them are groups of fifteen to twenty. Most of them want a twenty.

Lead time. About half of the people who write to us are inside thirty days of their event, and a small but real slice are inside the final week. None of that tells you what is open on your date. It does tell you that for a December Saturday, the people asking in October get to choose, and the people asking in December get to hope.

Two nights built around a twenty

Lights and dinner in December

  1. 5:30 p.m. Pickup at the office in the Design District, or at whoever is hosting. Coats on the back bench, cocoa and a cooler at the bar.
  2. 6:00 p.m. Crawl through the decorated streets of Highland Park. A twenty is about as much bus as you want on those blocks in December; anything longer fights the turns and the traffic.
  3. 7:15 p.m. Dinner in Uptown, reserved weeks ago, because everyone else had the same idea.
  4. 9:30 p.m. One more lights stop at Vitruvian Park in Addison, or a nightcap, then home by eleven.

  1. 2:00 p.m. The bus stages at the downtown hotel. Bridesmaids and groomsmen board with garment bags, an emergency kit and a cooler of water.
  2. 2:30 p.m. Photos at a park or in the Arts District on the way over.
  3. 4:00 p.m. At the ceremony venue with half an hour in hand.
  4. 5:30 p.m. The wedding party and the couple ride to the reception together. This is often the only quarter hour the newlyweds get with their closest friends all day.

A full bus is the cheap bus

We quote every trip on its own, so there is no rate card here. The arithmetic of splitting it is worth knowing before a number ever reaches you.

A bus is priced whole: the vehicle, the driver's hours, the date. A twenty costs more than a ten-seat Sprinter, but nowhere near twice as much, and it divides among twice as many people. That is why groups at the top of this range often end up with the lowest per-person share of anything they priced. Eighteen people on a twenty is efficient. Twelve people on a twenty is paying for air.

What actually moves the total:

  • Hours. Most groups we hear from want four to six, and peak dates carry minimums in that range anyway.
  • The date. Saturday nights and December weekends are the most requested, every year.
  • Distance and stops. A pickup in McKinney for a downtown evening adds highway time at both ends of the night.
  • What is inside the number. Ask for one all-in figure that covers gratuity, fuel and fees, so nothing arrives later.

Steps, coolers and where we can actually stop

Getting on. A few steps at the door, then a flat floor. Heels and formalwear handle that far better than ducking into a low limousine. If someone in your group needs help with steps, tell us ahead and we will talk through it.

Where things go. There is no luggage bay. Coats, purses and a garment bag or two ride on a spare seat or behind the last bench. The bar's ice wells hold your drinks, so the giant rolling cooler can stay home.

Your street. A twenty manages most neighborhoods. Flag the odd ones: a cul-de-sac lined with parked cars, a gate with a tight turn, a long private drive under low branches. Downtown, hotel porte-cochères vary and some canopies are too low, in which case your driver loads from the street out front. In Deep Ellum, Uptown and Bishop Arts on a busy night, expect a drop on the cross street rather than at the door.

House rules. Guests 21 and over may bring their own drinks, subject to the vehicle's terms. No alcohol on any ride carrying minors. No smoking or vaping. Whoever signs is the person responsible for damage and cleaning, so pick someone who will say something.

It is the band we get asked about most. In our Dallas inquiry data, about 48% of groups who give us a headcount are between eleven and twenty riders. Those are inquiries rather than rental counts, but they show you exactly where most Dallas groups land.

Not comfortably. Twenty is a seat count. With every seat filled, the open floor is knees and feet. If your night involves people standing and moving, sixteen to eighteen riders is the real ceiling. Past that, look at the 22- or 24-passenger.

One large bus usually costs less overall and keeps everyone in the same room. Two twenties earn their keep when pickups are far apart, when part of the group wants an early exit, or when the venue curb is tight. Ask us to price both and compare the split.

The day the date is set. December is the most requested month in our Dallas data, about 21% of dated inquiries, and almost all of them want a Friday or Saturday. Asking in October or early November gives you the widest choice of vehicles.

Yes, and a twenty is about the biggest we suggest for those residential streets in December. Traffic crawls during light season, which is half the fun, but it burns rental hours. Do the lights early and eat afterward.

No. You are renting the bus, not the seats, so fifteen riders is fine. Just know each person pays more as the count drops. If your firm number is under fifteen, price the 16- or 18-passenger alongside it before you decide.

No. Restrooms show up only on select larger vehicles. On a multi-stop night it rarely matters, since you are walking into a venue every hour or so. For a long highway run, tell us and your driver will build in a stop.

Yes, and door-to-door drops are common for company nights. They do add time at the end, especially across several suburbs, so list the addresses up front and we will put a realistic finish time in the quote.
