Dallas Bar Crawl Party Bus Rentals

You have six bars on the list and a nine o'clock start. Cut two of them. Every stop quietly eats about twenty minutes — ten to get your group off the bus and past the door, ten to round up the stragglers. The drive sits on top of that.

Most groups land in a four to six hour window. Across our historical group-transportation inquiry data, roughly three in four requests that named a trip length asked for exactly that range. Here is what the hours actually buy you.

Somebody in your group chat will suggest booking two hours. Minimum rental time comes up in close to one of every five sales calls we analyze, and it is usually that person. Your list will grow. Crawls spread by word of mouth, and the friend who hears about it Thursday still shows up Saturday. In Dallas Party Ride's own inquiry data, about seven in ten groups land somewhere between eleven and thirty riders, and nearly a quarter sit in the twenty-one to thirty band. So if you are creeping toward twenty-five, you are normal.

The bus can take it. The bar might not. A small Lower Greenville room cannot absorb thirty people at once, and the drink line will swallow your whole forty minutes. Call ahead to anything cozy. Aim your busiest hour at patios and big floor plans.

• 10 to 16 of you: a 16-passenger party bus. Any bar takes you, and loading is quick.
• 17 to 22: a 24-passenger party bus, with room to stand between stops.
• 23 to 30: a 30-passenger party bus. Pick bigger venues and hand each stop five extra minutes.
• Over 30: look at a 36-passenger bus, or run two vehicles ten minutes apart on the same route.

Route questions come up in roughly 8% of the sales calls we analyze, and a crawl has more route than any other night out. Send us your draft. Somebody always asks in the parking lot, thirty seconds before boarding. Better to settle it now. Alcohol comes up in only a sliver of our sales calls, but on a crawl it is the question that matters.

• Everyone drinking is 21 or over. If a rider under 21 is coming, tell us when you ask for the quote. That changes what is allowed on board for the whole group.
• Your vehicle's terms decide. Most party buses allow you to bring your own. The agreement spells out the specifics for the bus you reserve.
• Cans and plastic. No glass. Decant the tequila before you leave the house and bring plastic cups.
• Open drinks stay on board. Nothing walks into a bar with you. You will be buying inside anyway.
• Bring a real ID. You will get carded five times in one night. No ID means a long evening on the bus.
• Your driver does not pour or supply anything, and can end the night early if things get unsafe.

Treat the bus drinks as a bridge between bars, not the main event. A seltzer between stops keeps the energy up without putting your best friend on the floor by bar three. The bus will be on time. Your friends are the variable. The organizers whose nights run smoothly all do the same small things, and none of them are hard.

1. Publish the schedule. Send the stops with a departure time next to each one. People leave on time when they know the time.
2. Appoint two wranglers. One leads, one sweeps. The sweeper checks the restrooms and the patio before you pull away.
3. Warn them at ten minutes. A "bus in 10" message in the group chat gives everyone room to close a tab.
4. Pay per round. Open tabs are the single biggest reason a group leaves late.
5. Count heads every time. Your driver has no idea who is missing. You do.
6. Give the driver's number to the wranglers only. Twenty people texting one driver is how a pickup goes sideways.

Walked into a dead room? Leave early and spend the minutes at the next bar. Found a great one? Stay, and drop a later stop to pay for it. Your driver can flex inside the hours you booked. The clock is the only thing that will not move.

Crawls come together late, because they start as a text thread. In our own Dallas inquiry data, about a quarter of groups reach out two to four weeks before the date. For an ordinary Saturday that is a fair target. It is not enough for the big ones.

The Saturday of the Greenville Avenue St. Patrick's parade, Halloween weekend and the December pub crawl circuit all get asked about by a lot of groups at once. Give those six to eight weeks if you can. You will have more vehicles to choose from, which is the real currency here.

We quote each crawl on its own details rather than publishing rates, because the date, the size of the bus, the hours and the distance all move the number. A Dallas-only loop asks less of the clock than one that crosses to Fort Worth. Ask for one all-in total that includes gratuity, then split it. Send us the date, your rough headcount, where you want to be picked up, and a draft of the bars or at least the districts. We check the route for timing and bus access, suggest a vehicle, and send back a written quote with the hours and the total. One of you signs and puts down the deposit. That holds the date.

A few days out, send the final stop list in order with a target time beside each bar. Your driver runs the night off that sheet. On the night itself the bus shows up a few minutes early, so you can load the cooler and get a phone paired to the sound system before the clock starts costing you anything.
